Meetings & Events Space Manager

Venture Café is seeking a Meetings and Events Space Coordinator for our new innovation site in Providence, Rhode Island. Reporting to the Director of Venture Cafe Providence, the Coordinator will be one of the faces of Providence’s newest hubs called District Hall Providence designed specifically for the community of small businesses, entrepreneurs, and innovators to connect, learn, share, and grow. The space will feature an open lounge and workspace, private and public meeting and events space, and a variety of programming for the community.
As Coordinator, you will manage sales bookings for our private meeting and event space. This is a fast-paced role in our growing nonprofit organization that will work with clients across the business, academia, government, and civil society sectors.  This is a one-of-a-kind opportunity to learn the ins and outs of running both an innovation space and operating a mission-driven nonprofit.
As our Meetings and Events Space Coordinator, you will be responsible for managing the end-to-end space rental process, including the following:


Sales and Marketing:
  • Assist with marketing and communication for the meeting and events space.
  • Assist with building and maintaining a prospect list of potential space rental clients. Conduct coordinated sales outreach to new and returning clients
  • Oversee on-going client communications related to general inquiries, space rental planning, and post-event follow-ups.
  • Provide tours of the space for prospective clients.
  • Conduct post-event follow-up to collect feedback on meetings and events, customer satisfaction and program improvements.
  • Represent Venture Café Providence and its District Hall space at events throughout Providence’s innovation community.
  • Close and manage contracts for private meetings and events in the District Hall space.
Space Planning: (This will comprise the majority of your daily responsibilities once fully ramped up.)
  • Manage the full life-cycle of incoming event requests, from inquiry to fulfillment in a timely and professional manner (including scheduling, quoting, booking, client communication, contracts, invoicing, and event logistics confirmation)
  • Oversee space layout and planning with clients.
  • Oversee food and beverage catering plans for clients.
  • Manage room donation program.
  • Support the collection and tracking of data on bookings, revenue, and impact.
Operations and On-Site Logistics:
  • Maintain the appearance of meeting and event rooms throughout the day to facilitate client visits.
  • Assist with daily building operations, including troubleshooting AV equipment, placing building work orders, managing incoming phone calls and general inquiries, website maintenance, and other tasks as needed.
  • Provide on-site meeting and event supports for clients and prospective clients.
  • Support our Venture Café hosted programming including Café Nights.
The best candidates will possess the following Knowledge, Skills, and Abilities:
  • A minimum of 3-5 years of proven experience in a hospitality sales role. We’re looking for someone who can hit the ground running with our existing systems and continue to improve them.
  • Knowledge of event planning principles acquired from a Bachelor’s degree in Hospitality, Communications, Marketing, or Business.
  • Knowledge of sales and marketing principles.
  • Knowledge of Providence as a city, its neighborhoods as well as the small business, entrepreneurship and innovation ecosystem.
  • Hands-on experience in the hospitality industry from relevant job experience in the hospitality space.
  • Skilled in sales and marketing to promote and close room rentals.
  • Ability to interact with the public in a professional manner to ensure customer satisfaction and to problem solve.
  • Exceptional written and verbal.communications skills. You must be comfortable speaking publicly. Ability to do so independently, on a small team, and among stakeholders in formal and informal settings.
  • Superior abilities in project management and time management, including attention to detail and enthusiasm for efficiency and processes.
  • Ability to manage conflicting priorities, including a steady stream of client communications, logistics, and transactions via email, phone, and in person.
  • Ability to be flexible in our fast-paced workplace where we rely heavily on each other and our partners. A proactive attitude is key.
  • Ability to lift < 40 pounds can be necessary when resetting rooms.
  • Genuine excitement about being a critical part of the success of a unique, fast-paced, and impactful space with a tiny (but awesome) team.
  • Ability to work some evening and weekends for on-site logistics.
